The Events Specialist is an integral part of the commercial organization by providing support to the marketing managers, sales team, and leadership for both large medical conferences as well as specific company sponsored regional events. Their responsibilities include planning meetings and events to help drive lead generation for the sales team and drive revenue for the company. This also includes managing projects, vendors, and programs as they pertain to newly created regional prospect meetings. The role must understand the lifecycle of commercial meetings, HCP/customer engagement meetings, and congresses. The coordinator will research available venues and recommend event sites; investigates, selects, negotiates, and manages services with vendors including catering and event support. Prepares budgets and forecasts, and compiles summaries of total event costs, cost-per-contact, audience profiles, and attendees' comments. They should be extremely self-motivated, driven, committed, and a dedicated team player.
This role is hybrid bassed out of Bridgewater (Tuesday, Wednesday, Thursday in office)
Responsibilities:
• Responsible for hotel sourcing and contract negotiation and execution related to trade shows, sales and marketing events, or other internal meetings. Ensure to be compliant with the internal contract policy and processes.
• Take the lead on coordinating with internal and external stakeholders on regional marketing events, trade shows, speaker events. This may include external parties such as Key Opinion Leaders (KOLs), physician offices, events venue representatives
• Act on behalf of the company when interacting with venues to help negotiate and secure appropriate meeting or events arrangements
• Supports menu and décor planning for regional events with the marketing lead, coordinates and sets up the venue.
• Proactively lead all aspects of meeting space management ensuring space is secured, set up and set down
• Support execution of both National Sales Meeting (NSM) and the Midyear sales meeting (POA)
• Lead coordination of budget creation and management and be a key provider of insights and data
• Lead generation tracking and provide proactive insights back to the sales & marketing managers of prioritized/hot leads based on “boots on the ground” knowledge; ensure timely follow ups and pull through,
• Support EOY Reporting, report on KPIs/trends, raise opportunities for improvement or opportunity
• Support vendor management and help to build strong relationships
• Manage and track attendee registration at all events, ensure events reports are done to adhere to compliance standards
• Manage and track rooming list management
• Proactively lead transportation management for demo equipment to ensure proper set up for all events
• Proactively lead all on-site operation including staff management and any other logistics
• Contribute to event creative design, content, production services, and video production
• Consult with clients on strategic meeting management.
• Understand and adhere to all HCP compliance reporting requirements
Qualifications:
- Education: BA/BS required. Higher degree is a plus.
- 2+ years of marketing experience. Pharmaceutical/medical/aesthetics field experience preferred.
- Excellent oral and written communication skills.
- Strong analytic skills.
- Strong organizational management.
- Demonstrated track record of successfully coordinating the efforts and results of multiple functional areas.
- Ability to communicate the vision and mission of the business to internal and external audiences.
- Self-starter and motivated
The range of starting base pay for this role is 66K-92K. Actual starting pay will be based on a wide range of factors including, but not limited to, relevant skills, experience, qualifications, education and location. In addition to base pay, this position is eligible for participation in either (i) our annual bonus program or (ii) a sales incentive plan.
