We are seeking an exceptionally organized, proactive, and tech-savvy Executive Administrative Assistant to support a dynamic senior executive who leads a global team. This is a high-visibility role requiring excellent judgment, the ability to manage competing priorities, and a natural sense of urgency. The ideal candidate is someone who’s always three steps ahead — intuitive, highly responsive, and thrives in a fast-paced, ever-evolving environment. 

 

This role is an exciting opportunity to support a highly dynamic and global team. Therefore, this role must be flexible and understand that there are global considerations across all time zones and regions (EMEA, LATAM, APAC, US & Canada).

 

A “teamwork “orientation is essential to provide effective administrative support as well as provide backup support as needed for other executives.

 

In this role the successful candidate will be responsible, but not limited to, the following:

 

  • Serve as the right-hand partner to the executive, managing complex calendars across time zones, including scheduling meetings, video calls, and international travel.  Coordinate travel logistics (both domestic and international), including flights, accommodations, visas, and itineraries.
  • Anticipate needs and proactively address challenges before they arise — you’re the kind of person who’s always “on it.”
  • Coordinate in person or virtual meetings for both internal and external needs, including quarterly townhall meetings, monthly leadership meetings, annual budget meetings, etc.  As needed, take, prepare and distribute meeting minutes on a timely basiswith follow-up of “action items” to accomplish tasks on time and on budget.
  • Manage travel arrangements, expense reports, review expense approvals etc.
  • Review, email / print requests for approval (e.g.: CAF’s, expense approvals, etc.) on a daily basis, and ensure that all requisitions are addressed and vetted in accordance with the company policies / authority matrix.  Manage invoices as needed. 
  • Prepare required materials for meetings or projects (which could include PowerPoint presentation word documents, excel spreadsheets, etc.)
  • Participate in special projects as requested that requires administrative support or coordination.
  • Always maintain the highest level of confidentiality as this person will be exposed to sensitive information frequently.
  • Exhibit initiative and follow-through to help leadership and the team achieve priorities and results. Identify areas where you can provide assistance and pursue the opportunity to do so.
  • Communicate on a timely basis the status of tasks, especially if and when the timely completion of tasks is falling behind.
  • Continuous and consistent performance of administrative tasks, including but not limited to, ordering supplies, making photocopies, scanning of documents, preparing expense reports, etc.
  • Maintain and be able to access key contracts for the group.

 

Requirements:

 

  • High school diploma required; Bachelor’s Degree is preferred.
  • Minimum of 5 years of experience supporting a senior-level executive ideally in a global and/or high growth company
  • Expert calendar and travel management skills, with a talent for juggling priorities.
  • Highly responsive with a strong sense of urgency and follow-through.
  •  Superior attention to detail
  • Experience working on highly confidential projects with appropriate discretion and sensitivity.
  • Ability to maintain consistent and high levels of performance.
  • Ability to work in a time-sensitive, fast-paced environment.  Proven track record of following up and driving projects or action items to conclusion. 
  • Demonstrate ownership and execution of primary responsibilities, anticipate needs and solve issues quickly/effectively.
  • Strong ability to multi-task projects across groups. 
  • Ability to engage with internal/external stakeholders to coordinate meetings/travel.
  • Strong verbal and written communication skills
  • Ability to think beyond the task to the overall project objectives and improve processes.
  • Ownership mindset for projects and ability to follow-up and see projects through to completion.
  • Maintain a consistent work schedule regarding work times. Provide timely notice when a change in the work schedule is required.
  • Strong working knowledge of Word, Excel, PowerPoint, and Outlook.  Ability to learn salesforce.com, Power BI, and other tools.  
  • Ability to lift up to 10 lbs. boxes containing documentation. 
  • Ability to work beyond normal office work hours will be required.  The role will be supporting team members in multiple global time zones.  Willingness to remain in contact after-hours/weekends as necessary. May need to travel to set up meetings or events periodically.

 

 

The range of starting base pay for this role is 80K-109K. Actual starting pay will be based on a wide range of factors including, but not limited to, relevant skills, experience, qualifications, education and location. In addition to base pay, this position is eligible for participation in either (i) our annual bonus program or (ii) a sales incentive plan.
