Warehouse Pharmacist

. Warehouse Operations

  • Ensure the receiving, verification, and proper storage of Finished Goods, Raw Materials, and Packaging Materials in line with approved procedures and SOPs.
  • Maintain warehouse organization by rearranging stock as per FIFO/FEFO and applicable storage conditions.
  • Prepare and issue Material Receipt Notes (MRN) promptly; share copies with the QC department for sampling.
  • Ensure all materials are labelled with Identification, Quarantine, or Release labels as per SOP.
  • Arrange and supervise loading and unloading activities for inbound/outbound materials.
  • Coordinate with Planning to ensure timely dispensing of materials according to dispensing plans and specifications.
  • Maintain manual stock cards and ensure they are updated daily to match ERP/system stock.
  • Conduct stock reconciliation and cycle counts on a monthly and periodic basis; investigate and report variances.
  • Handle ERP transactions for stock movements, adjustments, issuance, returns, and reconciliations.

 

2. Logistics & Distribution

  • Coordinate with Logistics and 3PL service providers for timely execution of inbound and outbound shipments, transportation, and vehicle scheduling.
  • Prepare packing lists, delivery orders, and all other necessary documentation for domestic and export shipments.
  • Handle both domestic and export shipments as per SOP and GDP requirements.
  • Ensure traceability of products from manufacturing through to delivery to customers.
  • Support in resolving shipping-related complaints, coordinating with QA for investigation and corrective actions.

 

3. Quality & Compliance (GSDP / GMP / QMS)

    • Maintain GSDP license in coordination with Health Authorities; handle renewals and inspections.
    • Interact with Health Authorities on warehousing inquiries and compliance matters.
    • Conduct and support GSDP and internal audits (QA, EHS)  &  3PL audits in line with QA plans and agreements.
  • Ensure compliance with cGMP, GDP, and QMS requirements across all warehouse operations.
  • Participate in site assessments and ensure procedures reflect current regulations and circulars.
  • Support QA in managing deviations, CAPAs, audit observations, and change controls to closure.
  • Serve as the authorized person for controlled substances and reject stores.
  • Maintain inventory accuracy and data integrity across all manual and electronic systems.
  • Coordinate with MOH Drug Control Department for disposal of rejected or expired materials following proper documentation and approvals.

 

 

 

 

4. Documentation & Reporting

  • Maintain and control all inbound/outbound documentation — packing lists, gate passes, delivery notes, and shipment records.
  • Prepare and submit stock reconciliation, RM/PM expiry & retest reports on a timely basis.
  • Ensure all records (manual/electronic) are accurate, complete, and compliant with data integrity standards.
  • Periodically review SOPs to ensure they reflect actual practices and are in alignment with current regulatory and company requirements.
  • Complete aggregation, de-aggregation, and re-aggregation activities when required.

 

5. Environment, Health & Safety

  • Follow EHS guidelines during all daily operations and ensure warehouse safety standards are met.
  • Promote a clean, organized, and hazard-free work environment in compliance with company and regulatory safety norms.
