Responsibilities:

The Marketing Administrator at Solta will be primarily responsible for supporting overall departmental administrative activities and interface with multiple departments including Senior Management, Marketing Department, Customer Service, Sales and Operations.  A key function of this role will be to support the department in administration of new and ongoing marketing programs and activities, specifically around budgeting and tracking of purchase orders and payments; vendor setup; sales and managing contracting process with our physician Key Opinion Leaders, and other administrative duties as assigned.

 

What You’ll Do:

  • Provides general and administrative support to the Marketing team.
  • Possess and work with a high knowledge and understanding of Internal Controls, Policies and Procedures, required documents and approvals required, account structures.
  • Set up and processing of invoices for Marketing.
  • Tracking of spend against PO’s and updates for PO’s to be closed.
  • Review at month end for unprocessed invoices to be accrued.
  • Tracking Preparation of the reconciliation and monthly allocations including researching unknown items and reclass as required.
  • Compile and distribute reports as needed.
  • Initiate purchase orders for Marketing and ensure information is complete and correct. 
  • Ensuring payment of invoices for vendors. All goods received and correct and vendors in turn receive payment.
  • Conduct follow up with vendors and internal Bausch Health departments regarding invoicing or budgeting issues.  Thorough and detailed follow through until it’s resolved. 
  • Manage quotes/purchases from external vendors. Make sure all quotes are correct and within budget.
  • Initiate PO requests for approvals, track expenditures and reporting on related activity.
  • Process Vendor set up and changes as required.
  • Act as the point of contact for vendors used by marketing.
  • Assist in budget tracking, filtering budget requests and reporting on related activity.
  • Other duties/special projects as assigned.

 

What We’re Looking For:

  • Bachelor’s degree in business or related field.
  • Administrative support with budget, tracking spend and invoices.
  • Moderate proficiency in MS Office Suite and Mo
  • Ability to collaborate with internal and external stakeholders across multiple functions and locations.
  • Flexible and adaptable.
  • Excellent verbal and written communication skills
  • Excellent organization, time management, delegation, and prioritization skills.
  • Results driven, ability to help solve problems.
  • Ability to remain positive attitude in a fast-paced environment.
  • Ability to work independently and in a team environment.
